Home builder project management software is a system that plans and tracks the construction of each home — schedule, trades, selections, permits, purchase orders, change orders, draws, and job costs — alongside the sales process that produced the contract.

Which builders Ardovia fits

Ardovia comes from design-build residential construction, where every project is sold through a priced proposal and built in phases with subcontractors. That model matches custom and semi-custom home builders closely.

Each home is a job with its own contract, selections, schedule, and budget. The platform is strongest when your sales team prices homes from a repeatable structure and your production team runs a consistent build sequence.

Two limits are worth knowing up front. Customer payment schedules support a deposit plus up to six draws, and Ardovia has no homeowner portal; customers receive documents by email and sign through SignNow.

Step by step

From lead to warranty walkthrough

Here is how a custom home moves through Ardovia, step by step.

  1. 1

    Lead and sales process

Inquiries arrive from website forms, booking pages, forwarded emails, or the API. Reps log every conversation, and follow-up badges show which prospects need attention.

  2. 2

    Estimate and proposal

Sales prices the home from a pricing template with your plans, options, and allowances. The proposal shows the scope and price; the contract adds the deposit and draw schedule.

  3. 3

    Contract and job setup

Signing through SignNow creates the job with the sold scope, job costing budget, operating expenses, warranty tiers, and draft draw invoices. The signed contract is filed on the job.

  4. 4

    Selections and start requirements

Selections flagged for final approval appear in Job Start Requirements. Approving a priced change can create a change order before construction begins.

  5. 5

    Permits and schedule

Create permits from jurisdiction templates and apply a construction schedule. Phases, tasks, inspections, payment requests, and purchase orders run in dependency order.

  6. 6

    Build with trades and suppliers

Purchase orders go to subcontractors and suppliers with an acceptance link. Vendor insurance certificates and expirations are tracked on each vendor.

  7. 7

    Change orders and draws

Change orders adjust the project total and can require homeowner signatures. Draw invoices go out as phases are reached, and payment gates can hold later work until a draw is paid.

  8. 8

    Closeout and warranty

Final walkthrough checklists capture photos and signatures. Coverage tiers start from the job's warranty date, and claims are tracked through repair.

Home builder project management built on dependencies

A home has hundreds of steps, and most of them depend on something else. Ardovia's construction scheduling models that with schedule templates you build once per job type and apply to each home.

Templates link phases, tasks, checklists, emails, payment items, purchase orders, permits, inspections, and 811 dig requests. Dependencies can be finish-to-start, start-to-start, finish-to-finish, or start-to-finish, with lag days. Durations follow your working calendar and blackout dates.

When an item finishes, the next one starts automatically. Moving an item re-flows every downstream step that hasn't started, and a date can be pinned when a trade commits to a specific day.

  • Construction dashboard with every active job, its current phase, and a Needs Attention list.
  • Nightly health check that rolls each job up to on track, at risk, blocked, or complete.
  • Board view showing which construction phase every home is in.
  • Set Job Date items that stamp the start, completion, and warranty dates as the schedule reaches them.

Selections, allowances, and change orders

Selections are where custom home budgets drift. In Ardovia, a selection can be flagged as needing final approval, and the job won't meet its start requirements until it is approved.

The approval screen shows the old and new choice side by side with the price difference. You can turn that difference into a new change order or add it to a draft one. Allowances are kept as pass-through amounts and never counted in cost or margin.

Change orders can use catalog or manual lines, each assigned to a draw and a job costing category. Every line becomes a job item, so it can be placed on a purchase order and job-costed.

Draws and payment gates

Builders fund the next phase with the last draw. Ardovia ties the two together so work doesn't run ahead of payment by accident.

Each draw section on a schedule can be set to block, warn, or do nothing when its invoice is unpaid. Blocks can include a grace period and can be released by payment, by marking the draw received, or by an audited override.

Payment items on the schedule can email the draw invoice to the customer automatically when the phase is reached. Recorded payments update each invoice's status and the job's balance in financials.

Purchasing and job costing

The budget you sold should be the budget you build to. Job costing categories come from the pricing template, so each home starts with an estimate by category.

Purchase orders can be built from the job's materials list or catalog, with the plans open beside the form. POs can require approval before they are sent, and vendors respond through a secure link.

The estimates vs. actuals view shows estimated cost, committed POs, actual spend from bills and receipts, and variance by category. Operating expenses like commission are calculated on the job and can be tracked as payouts.

Permits, inspections, and trade partners

New homes need building, electrical, plumbing, and other permits. Ardovia's permits module stores each jurisdiction's forms, timelines, contacts, and required inspections, and projects those inspections onto the job's schedule.

Vendor records hold each trade partner's contacts, the construction phases they cover, and the locations they serve. Ardovia tracks General Liability and Workers' Comp certificates and flags them when they expire.

Field records and warranty

Superintendents can record progress with photos in daily logs and run inspections or walkthroughs with checklists. Completed checklists generate a PDF and email the recipients you choose.

After closing, warranty coverage tiers show what is covered and for how long, including prorated coverage. Tracked products record installed equipment with serial numbers and manufacturer warranties. Homeowners can submit claims through a public warranty form.

Frequently asked questions

What does home builder software do?

Home builder software manages the sale and construction of each home in one place. Ardovia covers leads, proposals, contracts, selections, construction schedules, permits, purchase orders, change orders, draw invoices, job costing, and warranty.

Is Ardovia a fit for production builders?

Ardovia is built around homes sold through a priced proposal and a signed contract, which fits custom and semi-custom builders best. Production builders can use schedule templates per job type, but should confirm the sales workflow matches theirs in a demo.

How many draws can a home have in Ardovia?

Each job supports a deposit plus up to six draws. Draw percentages come from the pricing template or are set on a manual job, and each draw becomes an invoice.

Can Ardovia stop work until a draw is paid?

Yes. Draw sections on a construction schedule can block or warn when the draw invoice is unpaid. A block can be released by payment, by marking the draw received, or by an audited override from someone with permission.

How does Ardovia handle selections?

Selections can be flagged as needing final approval after the sale. Approval shows each change with its price difference, and the difference can become a change order. The job keeps the options it was sold with even if your company later changes its selection lists.

Can homeowners log in to see their project?

No. Ardovia has no homeowner portal. Customers receive proposals, invoices, and change orders by email and sign through SignNow, and schedule emails can update them at set points in the build.

Does Ardovia track construction costs against the budget?

Yes. Each job compares estimated cost by category with committed purchase orders and actual spend from bills and receipts. The variance shows which categories are over or under budget.

Can I try Ardovia before buying?

Yes. Ardovia offers a 14-day free trial with no credit card required. You can also book a demo to walk through your build schedule and selections process.
