Pool proposals and selections

Pool Proposal Software with selections built in

Ardovia builds pool proposals and contracts from the same priced data. Designers choose finishes, tile, coping, and equipment from your selection lists, send the contract for e-signature, and hand a fully specified job to construction.

Pool proposal software turns a priced pool design into a customer-ready proposal and contract, and records the homeowner's selections for finishes, tile, coping, decking, and equipment.

One proposal, two documents

Every Ardovia proposal has two customer-facing views. The proposal shows the scope and price, and the contract adds the deposit, up to six draws, clauses, initial boxes, and signature lines.

Both are built from layout blocks you arrange in the pricing template. Text blocks support merge tags for the client, project, location, and proposal totals.

Because both come from one priced snapshot, the contract always matches the proposal the homeowner reviewed.

Pool selections: finishes, tile, coping, and equipment

Selections are reusable dropdown lists in your pricing template. A product selection ties each option to a catalog item, so picking a different pump, heater, or interior finish swaps the priced item.

Options can carry a price adjustment, a description, and data fields that formulas read. A None option lets the homeowner skip a feature while still showing None on the proposal.

Each proposal and job keeps its own copy of the options it was sold with. Editing or retiring an option later never changes a signed job.

  • Interior finish and color
  • Waterline tile and coping material
  • Decking material and finish
  • Pump, filter, heater, sanitation, lighting, and automation
  • Water features and spa options

Final approval before the dig

Some choices aren't final at signing, like a plaster color or a tile the homeowner wants to see in person. Any selection can be flagged as needing final approval.

Jobs with a flagged selection get an Approve Selections item in their start requirements. The requirements stay Not Met until it's done, and a schedule item can assign the approval as a task.

If a choice changes, the approval screen shows the old value, the new value, and the price difference. That difference can become a new change order or be added to a draft one.

Step by step

From proposal to signed contract

  1. 1

    Build and review

The designer builds the proposal from the lead in the proposal builder. Templates can require internal approval, and a minimum net margin can block sending until it's approved.

  2. 2

    Send the proposal

Email the proposal PDF from Ardovia using a saved template. The send is logged on the lead, with delivery and open status when sent through Ardovia's mail service.

  3. 3

    Send for e-signature

The contract goes out through SignNow to the buyers, the designer, and your company's signing officer, one after another. Each signer's status and activity is tracked on the proposal.

  4. 4

    Create the job

When everyone signs, a job is created with the pricing snapshot, selections, draw schedule, job costing categories, and the signed contract PDF. Draft draw invoices are created too.

Presenting options and answering competing bids

To show a homeowner two versions of a pool, clone the proposal and change the options. Each clone is its own proposal that can be sent separately.

When a homeowner brings a competitor's quote, the Comparison tab puts your pricing beside theirs. Enter their prices by section or line item, and the totals card shows the difference.

Package objects can show what the base pool includes and list each upgrade as an enhancement with its price difference.

Proposal history and pricing expiration

Every save is recorded in the proposal's history, and earlier versions can be restored or copied into a new proposal.

Templates can give proposals an expiration window. An expired proposal is refreshed to current catalog pricing before it's edited again, which protects your margin on proposals that sit for months.

Frequently asked questions

What is pool proposal software?

Pool proposal software turns a priced pool design into a customer-ready proposal and contract. In Ardovia, the proposal, the contract, and the job all come from the same pricing snapshot, so the numbers match at every step.

Can homeowners sign pool contracts electronically?

Yes. Ardovia sends contracts for e-signature through SignNow, and signers don't need an account or login. Signing is sequential, and when everyone has signed the job is created automatically.

How are pool selections like tile and coping handled?

Selections are dropdown lists in your pricing template, and product selections link each option to a catalog item. Choosing an option prices it on the proposal, and the choice carries onto the job's specifications.

What if the homeowner hasn't picked a finish when they sign?

Flag that selection as needing final approval. The job then shows an Approve Selections start requirement, and any price difference from the change can become a change order for the homeowner.

Can I send a homeowner more than one pool option?

Yes. Clone the proposal, adjust the options, and send each version. The Comparison tab is for comparing your proposal against a competitor's quote.

Do homeowners get a portal to view the proposal?

No. Homeowners receive the proposal as a PDF attached to a normal email, with no link or login. Contracts are signed in SignNow's hosted signing session.
