Pool Construction Scheduling Software that runs phase by phase

Build your pool construction schedule once as a template, then apply it to every signed job. Ardovia chains the phases, inspections, draws, and material orders so finishing one step starts the next.

Move a phase and everything downstream shifts with it — automatically.

Pool construction scheduling software sequences the phases of a pool build, from layout and excavation through startup, and tracks the inspections, payments, and deliveries each phase depends on.

A pool schedule is a chain, not a calendar

Pool phases depend on each other. Steel can't go in until the dig is done, shotcrete waits on the steel inspection, and plaster waits on tile, coping, and decking.

A shared calendar shows dates, but it doesn't know those links. When excavation slips two days, every later booking has to be moved by hand.

Ardovia models the pool construction schedule as linked items. Move or finish one, and the work behind it re-flows.

Step by step

From signed contract to scheduled pool

  1. 1

    Build a schedule template

Lay out your phases on a Gantt chart and drag between items to link them. Add tasks, emails, payment requests, purchase orders, permits, inspections, and an 811 dig request where they belong.

  2. 2

    Apply it to the job

A four-step wizard picks the job, the template, and a start date, then previews every resolved date before you commit. A job already underway can start partway through the template.

  3. 3

    Let the chain run

Completing one item activates the next, and future-dated items fire on their day. Tasks are created for the right person, phase events land on the calendar, and emails go out from the schedule.

  4. 4

    Manage by exception

The Construction dashboard lists overdue phases, unscheduled phases, failed inspections, and draws holding work. You work the exceptions instead of checking every job.

A three-step workflow for each phase

Each construction phase can require a scheduling step, a confirmed start, and a completion step. You turn each one on or off per phase.

The scheduler gets a task to book the crew, and booked dates are pinned so routine re-flows don't move them. A start confirmer records the real start day, and the completer closes the phase, optionally after a completion checklist.

If the work isn't acceptable yet, the completer can mark the phase Needs Corrections. The phase stays open, and you choose whether later work waits or keeps moving.

  • Assign a phase to a vendor before the dates are known
  • Set items like a cure period to run through weekends and blackout dates
  • Pause a job's schedule with a reason, then resume it later
  • Compare each phase's actual working days against its estimate

Inspections that hold the right work

Permits created from a job carry the jurisdiction's required inspections. Those inspections are placed on the schedule before or after the phase they belong to.

A failed inspection holds dependent work and shows up in Needs Attention with the reason. A pass releases it. You decide which items should wait on inspections, so emails and tasks don't stall behind them.

Inspections that don't come from a permit, such as an engineer's steel check, can be added by hand. See how permit tracking works.

Held by Draw 2 payment

Tile & the phases after it stay blocked until the Draw 2 invoice is paid.

Mark receivedOverride

When a phase fires, it triggers…

A calendar event for the crew
A status email to the homeowner
The next task, assigned automatically
The draw invoice, opened for payment

Payment gates keep draws in step with the build

Each draw section on the schedule can have a gate. A Block gate holds work until the draw is paid, a Warn gate flags it without holding anything, and Off disables it.

Payment items can create a task to request the draw or send the draw invoice by email automatically. Recording the payment releases the gate, and the job's Payment Status card turns green.

Material orders on the schedule

A purchase order item creates a task to build the PO when its turn comes. An optional receiving step keeps the item open until every PO on it is received, so the next phase waits for delivery.

POs can go to vendors by email or to Heritage through the Heritage integration. Learn more about purchase orders.

Frequently asked questions

What are the phases of a pool construction schedule?

A typical in-ground pool build runs through layout and excavation, steel, plumbing, electrical, shotcrete or gunite, tile and coping, decking, interior finish, and startup, with inspections between several of them. Ardovia lets you define your own phases and their order in a schedule template.

Can I reuse one pool schedule for every job?

Yes. You build a schedule template once, publish it, and apply it to each job. Real dates are resolved from the job's start date, and you can preview and adjust items before committing.

What happens when a phase runs late?

Work that depends on the late phase waits, and the phase is flagged overdue on the Construction dashboard once it runs past its own estimate. Rescheduling it re-flows the downstream work, while phases whose dates were already booked stay put.

Can a failed inspection stop the next phase?

Yes. A blocking inspection holds the items that are set to wait on inspections, and the failure appears in Needs Attention with its reason. Recording a pass releases the held work.

Can the schedule hold work until a draw is paid?

Yes. Each draw section can have a Block, Warn, or Off gate. A Block gate holds work until the draw invoice is paid, with an optional grace period, while Warn only flags the job.

Does the schedule work for jobs already in progress?

Yes. When applying a template, you can pick the item where work actually begins. Everything before it is skipped and the rest of the schedule lays out from your start date.
