Landscape business software is a system that runs a landscaping or hardscape company's sales and operations — leads, estimates, proposals, contracts, crew scheduling, purchasing, invoicing, and job costing — from one shared record per project.
Built for installs, not mowing routes
Ardovia was built around design-build residential construction, starting with pool builders. That makes it a strong fit for landscape companies whose revenue comes from projects: patios, walkways, retaining walls, outdoor kitchens, fire features, plantings, drainage, and lighting.
Each of those jobs follows the same arc as a pool or remodel. A designer meets the homeowner, prices a scope, sells a contract, and hands the job to a crew that builds it in phases. Ardovia connects every one of those steps.
If most of your revenue is recurring maintenance on weekly routes, be aware that Ardovia is not organized around route scheduling. It is built for install work with a defined scope, contract, and schedule.
Step by step
How a landscape or hardscape project runs in Ardovia
Every project lives on one record, from the first inquiry to the warranty callback. Here is the typical path.
- 1
Capture the lead
Inquiries arrive from your website lead forms, a rep's public booking page, emails forwarded from lead providers, or manual entry. ZIP-code routing sends each lead to the right branch, and duplicate checks stop repeat inquiries from cluttering the list.
- 2
Meet and measure
Reps log every call and visit on the lead. Follow-up badges turn red when a lead is overdue for contact, so spring inquiries don't go cold while crews are busy.
- 3
Build the estimate and proposal
Enter the measurements — square footage of patio, linear feet of wall, number of lights — and your pricing template calculates materials, labor, and price. Customers choose finishes from selection lists, and the proposal reflects every choice.
- 4
Sign the contract
The same proposal becomes a contract with a deposit and up to six draws. Send it for e-signature through SignNow; once signed, the job is created automatically with draft draw invoices ready.
- 5
Schedule the build
Apply a construction schedule template for that job type. Phases like layout, excavation, base, pavers, walls, planting, and lighting chain together, so finishing one starts the next.
- 6
Buy materials and manage subs
Create purchase orders from the job's materials list and send them to suppliers and subcontractors. Vendors accept or request changes through a secure link.
- 7
Handle change orders
When the homeowner adds a seat wall or upgrades the paver, write a change order. It can require the homeowner's signature and moves the project total automatically.
- 8
Invoice draws and close out
Bill each draw as the work earns it and record payments. After completion, coverage tiers and warranty claims keep callbacks organized.
Landscape estimating software that prices from your measurements
Hardscape estimating is mostly math: area, depth, linear feet, and waste. Ardovia's pricing tool lets you build that math once, as a template, and reuse it on every proposal.
A template is made of sections and objects. Each object has inputs, such as patio square footage or wall height, and formulas that turn those inputs into quantities of catalog products. Base rock, pavers, edging, sand, block, caps, and labor can all be priced from the same few measurements.
Because the catalog supports location-specific pricing, a company with more than one branch can keep one template while each branch prices with its own costs. Products can also round up to whole units when a template is set to, so a proposal orders full pallets or bags rather than fractions.
- Selections let the customer pick a paver style, wall block, or fixture from a dropdown, each tied to its own product and price.
- Allowances carry budget amounts, such as a plant material allowance, as pass-through lines outside your margin math.
- Packages price a base design and show each upgrade or downgrade as an enhancement with its price difference.
- Margin settings flag proposals below your minimum net margin and can require approval before they go out.

Proposals homeowners can say yes to
A landscape proposal has to sell a picture, not just a price. Ardovia proposals are built from your template's document layout, so every rep sends the same branded, organized scope.
Proposals are emailed with the PDF attached. When sent through Ardovia's mail service, the proposal's History shows whether the email was delivered and opened. When the customer is ready, the contract view adds the deposit, draw schedule, and signature lines, and goes out for e-signature through SignNow.
Proposal pricing is locked when saved and can be set to expire. That protects you when material costs move between the design meeting and the signature.
Handling the spring rush without losing leads
Most landscape companies get a flood of inquiries in a few weeks each spring. The risk is not getting leads; it is letting them sit. Ardovia's lead management keeps the pipeline visible when everyone is busy.
Your organization sets a follow-up cadence for the first through sixth contact attempts. Each lead shows a colored badge, and the list can be filtered to show only overdue leads. Time to first contact is recorded automatically for reporting.
A rep's online booking page lets customers pick an open consultation time from the rep's real calendar. The booking becomes a lead and a calendar appointment without anyone retyping it.

Crew scheduling that follows the build
Hardscape work runs in a strict order. You cannot set pavers before the base is compacted, and you should not start the next phase until the customer pays the draw that funds it. Ardovia's construction scheduling handles both.
Schedule templates link phases, tasks, emails, inspections, and payment requests with dependencies. When a phase completes, the next one starts on its own. Draw sections can warn or block later work until the matching invoice is paid.
A Construction dashboard shows every active job, which phase it is on, and what needs attention. Day-to-day crew assignments are placed on the Dispatch board, and events sync with Outlook through Microsoft 365.

On trackMaterials, subcontractors, and job costing
Material swings and missed subcontractor costs are where landscape margins disappear. Ardovia ties purchasing back to the estimate so you see the gap while there is still time to act.
Purchase orders pull lines from the job's materials list or catalog, calculate sales tax, and go to the vendor with an acceptance link. Vendor records track subcontractor insurance certificates and their expiration dates.
Bills and receipts are coded to job costing categories. The estimates vs. actuals view compares what each category was supposed to cost with what you have spent, with open POs shown as committed.
Project Profitability
Field records and warranty callbacks
Daily logs give crews a running diary on each job, with photos and comments. Checklists handle structured forms like a final walkthrough, with photos and customer signatures, and email a PDF when completed.
After the job, warranty coverage tiers record what you warrant and for how long. Homeowners can file claims through a public warranty form, which matches the claim to their job when it can.
Reviews posted on Google can sync in through Google Business Profile, so you can see which designers and supervisors earn them.

Is Ardovia good landscaping software for maintenance companies?
Ardovia is built for project and install work: design, proposal, contract, phased construction, and warranty. It is not organized around recurring maintenance routes. Companies whose main business is weekly mowing or route service will likely want a route-focused tool instead.
Can Ardovia work as hardscape estimating software?
Yes. Ardovia's pricing templates use inputs like square footage, linear feet, and height, with formulas that calculate product quantities and labor. You build the math once and every rep prices patios, walls, and walkways the same way.
Can customers choose paver colors or materials on the proposal?
Yes. Selection inputs give the customer a list of options, and each option can link to its own catalog product and price. Selections can also be flagged for final approval after the sale, and approving a priced change can create a change order.
How does Ardovia handle deposits and progress payments?
Each pricing template defines a deposit and up to six draws. When the contract is signed, the job is created with a draft invoice for the deposit and each draw. You can also tie construction schedule phases to draws so later work waits for payment.
Does Ardovia track subcontractor insurance?
Yes. Vendor records track General Liability, Workers' Comp, and State Exempt certificates with expiration dates. Ardovia sends notifications when insurance is expired.
Can I see whether a landscape job made money?
Yes. Each job compares estimated cost with actual spend by job costing category. Bills and receipts count as actual spend, open purchase orders show as committed, and the variance shows whether each category is over or under budget.
Does Ardovia integrate with QuickBooks?
A QuickBooks Online integration is in development and listed as coming soon. Today, Ardovia integrates with Microsoft 365, SignNow, Google Business Profile, and Zapier.
Is there a free trial?
Yes. Ardovia offers a 14-day free trial with no credit card required. Plan details are on the pricing page, and you can book a demo to see it with your own project types.
