Assign the lead from a sales rotation, log every call and email, and book the site visit on the calendar. Follow-up badges show which leads are overdue for contact.

Your designer enters dimensions, finishes, and equipment in the proposal builder. A pricing template turns those inputs into quantities, costs, and a sell price using your own catalog and formulas.

Send the proposal and contract
Email a branded proposal PDF, then send the contract with its deposit and draw schedule for e-signature. When everyone signs, the job is created automatically. See proposals.

Approve selections and clear start requirements
Selections flagged for final approval, like plaster color or tile, must be confirmed before work starts. Start requirements can also cover plans, the permit, and the 811 dig ticket.

Pool estimating built on your own formulas
Ardovia prices pools from templates you build once. Each template holds inputs (length, width, depth, spa, water features), calculated values, and catalog products whose quantities come from formulas.
Selections carry data, not just labels. A tile option can store its coverage factor, and an equipment option can store its flow rate, so changing the choice re-prices everything that depends on it.
Catalog items can be priced by markup, margin, or a flat price, with different costs per location. Package objects show what's included and list upgrades as enhancements with their price difference.

- Optional whole-unit rounding for calculated quantities, such as truckloads or bags
- Allowances pass through to the contract total and stay out of cost and margin math
- Net margin readout, with an optional minimum margin that requires approval below it
Proposals, contracts, and pool selections
The same priced proposal has two faces: a proposal for the homeowner and a contract with the deposit, up to six draws, clauses, and signature lines. Contracts go out for e-signature through SignNow, and signers are emailed in order.
Selections are the dropdowns your designer fills in: interior finish, waterline tile, coping, decking, and equipment. Any selection can be flagged for final approval, so the job can't start until the homeowner confirms it.
When a customer changes a selection after signing, Ardovia shows the old choice, the new choice, and the price difference. That difference can become a change order for the homeowner to sign.

Pool construction scheduling by phase
Schedule templates are built on a Gantt chart and applied to a job from its contract date. Phases, tasks, emails, payment requests, purchase orders, permits, and inspections are linked by dependencies.
Once applied, the schedule runs itself. Completing one item starts the next, and future-dated items fire on their day. Phases can require a scheduling step, a confirmed start, and a completion step with a checklist.
The Construction dashboard groups what needs attention: overdue phases, unscheduled phases, failed inspections, and draws that are holding work. A board view shows which phase every active pool is in.

Purchase orders are built from the job's materials list, its catalog items, or manual lines. Each line carries ordered and received quantities and a job costing category.

Vendor POs are emailed with a secure link where the vendor can accept, reject, or request changes. A schedule item can also create a PO task and wait for delivery before the next phase starts.

Set up each permitting jurisdiction once: its coverage zip codes, review times, contacts, required inspections, and its real application forms. Every permit after that reuses the setup and fills fields from the job.

Products in your pricing template are assigned to job costing categories, such as excavation, steel, plumbing, or plaster. Those categories become the job's budget buckets when the contract is signed.
Bills and receipts coded to a category count as actual spend, and open purchase orders count as committed. The Estimates vs Actuals view shows variance by category, with the items and bills behind each number.
Draw invoices are created as drafts when the job is created. Recording a payment marks the draw paid and can release a payment gate on the schedule. See financials.

Homeowners can submit warranty claims through a public form you embed on your website. Each claim has a type, priority, assignee, contact log, and linked appointments.
Coverage tiers record what you warranty on each job and for how long, such as structure or equipment. Catalog items marked Track for Warranty list each installed pump, heater, or automation unit with its serial number and manufacturer warranty.
